How do you plan wedding seating?

1 Decide who sits at the head table

Seat the couple with parents, close family or the wedding party. A sweetheart table for two also works well when relatives would feel more comfortable at separate family tables.

2 Keep difficult relationships apart

Consider separate tables for these situations.

Use separate group labels to keep guests at different tables. Select any guest afterwards to change their table.

3 Bring familiar people together

Group guests by friendship, school, work or shared interests so everyone has someone to talk to.

Renmory reads group labels such as friends, colleagues and family to arrange guests together.

4 Consider each guest group's needs

  • Honoured guests may prefer to be near the couple.
  • Children and families need space away from service routes.
  • Guests with access needs need suitable routes and seating.

Give tables useful names, such as “Family” or “University friends”. These names appear in PNG and CSV exports.

5 Make the plan easy to use on the day
  • Tell the venue about dietary needs, high chairs and children's meals.
  • Use clear, recognisable table names.
  • Share accessibility arrangements with the welcome team.
  • Keep entrances and service routes clear.

6 Leave room for last-minute changes
  • Agree on spare seats or a reserve table with the venue.
  • Ask a friend or coordinator to help guests find their seats.
  • Keep an alternative seat available for guests with access needs.
  • Confirm any changes with the catering team.

Adjust the number of tables and select Reassign guests to create a new arrangement. Review your manual placements before exporting.

  • Column names and order are flexible. Other columns, such as phone numbers and RSVPs, are skipped. Excel files use the first sheet containing data.
  • Guests in the same group are seated together. More specific groups may need more tables.
  • Mark important guests with a head-table note, then check their placement after import.
  • Use one row per seat. Two names in one cell are split into separate guests.

Who should sit at the head table?

The couple can sit with parents, close family or their wedding party. A sweetheart table for two is another option, with family at nearby tables.

How many guests should sit at each table?

Round wedding tables often seat 8–12 guests, depending on the venue and table size. Ask the venue for its comfortable capacity before setting your numbers.

What if guests cancel or bring someone at the last minute?

Agree on spare seats with the venue and ask a coordinator to help with changes. Renmory lets you change the table count and reassign guests. Check the new plan before sharing it.

Do the two sides of the family need to sit separately?

That is up to you. Keep familiar relatives together where helpful, and mix friends or colleagues when they would enjoy each other's company. The side field helps you keep track.

Should children have their own table?

Older children may enjoy a supervised children's table. Younger children usually need to sit with their parents. Check high chairs, meals and safe access with the venue.

How should we seat separated parents or relatives who do not get along?
